Privacy Policy
This Privacy Policy describes how Pickboard ("the App"), operated by Pickboard ("we", "us", "our"), collects, uses, and handles information when you install and use the App through the Shopify platform.
1. Information We Collect
Pickboard accesses the following data from your Shopify store through the Shopify Admin API:
- Order information: order number, order date, order total, notes
- Line items: product names, SKUs, variant titles, quantities
- Shipping address: recipient name and shipping address
- Shipping method: carrier and shipping service title
- Order status: fulfillment status, financial status, cancellation status
We also store internal operational data that you create within the App:
- Workflow stage configuration (stage names and colors)
- Worker employee names
- Order stage assignments, claim records, and pack notes
- Flagged order issues and resolution notes
2. How We Use This Information
We use the data described above solely to provide the warehouse order management functionality of the App. Specifically:
- To display unfulfilled orders on the warehouse board and worker views
- To allow warehouse workers to claim, pick, and advance orders through fulfillment stages
- To show managers order status, worker performance, and throughput metrics
We do not use this data for advertising, profiling, or any purpose beyond operating the App.
3. Data Storage
Order and configuration data is stored in a Supabase database hosted on secure cloud infrastructure. All data is encrypted at rest and in transit using TLS. Supabase maintains encrypted backups of all data.
Data is isolated per merchant store. No merchant's data is accessible to other merchants.
4. Data Retention
Order data is retained for as long as your store has the App installed. When you uninstall Pickboard, we delete all order data and configuration associated with your store within 48 hours, in accordance with Shopify's shop/redact webhook requirement.
5. Customer Data Rights (GDPR)
If you or your customers request access to or deletion of personal data, you may contact us at support@pickboard.dev. We respond to verified requests within 30 days.
Upon a customer data erasure request from Shopify, we delete all warehouse order records associated with that customer.
6. Data Sharing
We do not sell, rent, or share personal data with third parties for their own marketing or commercial purposes. Data is shared only with the infrastructure providers necessary to operate the App (Supabase for database hosting, Fly.io for application hosting).
7. Access Controls
Admin access to the App requires Shopify merchant authentication. Worker and display access is controlled by unique token-protected URLs. Tokens can be regenerated at any time from the admin dashboard.
8. Security
We implement the following security controls:
- All data encrypted at rest and in transit
- Token-based access for worker and display views
- Shopify OAuth for admin authentication
- Encrypted database backups
- Application and database access logs retained by infrastructure providers

10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify merchants of material changes by updating the effective date at the top of this page. Continued use of the App after changes constitutes acceptance of the updated policy.
